What to put on an estimate

  • Your business details, logo and licence number.
  • The customer’s name and the job address.
  • The scope, line by line, with quantities and units, and what is not included.
  • Subtotal, discount, tax and total, and the deposit to start.
  • How long the price is valid, and the payment schedule.
  • A line for the customer to sign and date.

From estimate to invoice

When the job is won, press Turn into invoice. Everything carries over, the invoice gets the next invoice number, and it notes the estimate it came from. Adjust the lines if the job changed, then download. Both documents stay in My documents on this device. More on invoices: free invoice generator.

Is this estimate template free to use?

Yes. Fill it in, download the PDF and send it. No sign-up, no trial and no watermark, and you can make as many estimates as you need.

What is the difference between an estimate and a quote?

In everyday use they overlap. An estimate is usually your best price for the work as described and can change if the job turns out different; a quote is often treated as a fixed price. Say which you mean in the terms, and say how long the price is valid.

Can I ask for a deposit on the estimate?

Yes. Set a deposit as a percentage or a fixed amount. It prints as “Deposit to start” under the total, and when you turn the estimate into an invoice it shows as “deposit received” with the balance due.

Does the estimate have a signature line?

Yes. Every estimate PDF ends with an “Accepted by” line and a date line, so the customer can sign and send it back.

Can I save my usual line items?

Yes. Star a line to save its description, unit and rate on this device. Next time, start typing the description and pick it from the list to fill in the rest.

Is there a template for my trade?

There are templates for roofing, plumbing, HVAC, electrical, painting, cleaning and general contracting, each with the lines and units that trade quotes in. Prices are left blank on purpose: yours are yours.
