From invoices to QuickBooks bills

  1. Drop your supplier invoices and receipts above (up to 10 at a time).
  2. Check each one: the arithmetic check should be green, and fields marked Check are worth a look.
  3. Open QuickBooks bill settings and set the expense account, the tax code if you use one, and the date format your QuickBooks company uses.
  4. Tap QuickBooks bills to download the CSV.
  5. In QuickBooks Online: Settings › Import data › Bills, then upload it.

What the import file contains

Each line item becomes a bill line, and the bill number, supplier and dates repeat on every line as QuickBooks expects. Invoices without line items become one line for the amount before tax. The invoice number becomes the bill number; receipts without a number use the file name.

Check before you import

Fixing a wrong bill in QuickBooks takes longer than fixing it here. Every invoice is checked before export: items against the subtotal, and the subtotal plus tax (and shipping, minus discounts) against the total. Anything that does not add up is flagged with the difference.

Questions people ask

How do I import the file into QuickBooks Online?

Download QuickBooks bills, then in QuickBooks Online go to Settings › Import data › Bills, choose the file and map the columns if asked. The file follows the column names in Intuit’s bill import help: Bill No., Supplier, Bill Date, Due Date, Account, Line Description, Line Amount, Line Tax Code and Line Tax Amount.

Why did QuickBooks reject a supplier or account?

QuickBooks only imports bills for suppliers and accounts that already exist. Add the supplier first (or import your supplier list), and set the expense account in QuickBooks bill settings to one of your account names exactly as QuickBooks shows it.

What about tax?

The tax amount from the invoice goes on the first line of each bill. If your QuickBooks company uses tax codes (common in the UK, Canada and Australia), type the code to use in Tax code. If you leave the tax amount empty in QuickBooks, it calculates tax from the code.

What happens to discounts?

QuickBooks does not import discounts on bills. When an invoice has a discount, the bill is written as one line for the net amount so the total still matches.

Can I get a QBO file?

QBO (QuickBooks Web Connect) export is part of Pro. It writes each invoice as a transaction you can match in the bank feed. The free CSV import above is usually the better route for bills.

Does it work with QuickBooks Desktop or Xero?

The bill CSV is laid out for QuickBooks Online. For Xero, QuickBooks Desktop or other software, download Excel or CSV and use their own import; the columns are labelled plainly so mapping takes a minute.
