One row per line item (CSV, line items)

Both examples come from the fictional sample invoice above. Use the first for a purchases ledger or an expense import, the second for spend analysis by item.

Why the check column matters

A CSV is only useful if its numbers are right. Every invoice is checked before export: line items against the subtotal, and subtotal, discount, shipping, tax and tip against the total. The Check column says Adds up, Does not add up or Not checked (when the invoice prints no line items or no total), so you can filter for the ones to look at.

Scanned invoices

If a PDF is a scan with no text layer, it is read with OCR in your browser instead, and the same CSV comes out. Confidence is lower for scans, so look at fields marked Check. For receipts photographed on a phone, see receipt scanner.

Reconciling those invoices against your account? The bank statement PDF to CSV converter writes the transactions in the same plain format, with every row checked against the running balance.

Questions people ask

What do the CSV files contain?

There are two. CSV has one row per invoice: vendor, invoice number, date, due date, currency, subtotal, discount, shipping, tax, tip, total, number of line items, the result of the arithmetic check and the source file name. CSV, line items has one row per line item with the invoice fields repeated, so it can be filtered or pivoted on its own.

How are dates and amounts written?

Dates are ISO (2026-10-14), which every spreadsheet and database reads the same way. Amounts are plain numbers with a dot for decimals and no thousands separators or currency signs; the currency is in its own column. The file is UTF-8 with a byte-order mark so Excel opens accents and symbols correctly.

Will Excel misread anything?

Text that starts with =, +, - or @ is prefixed with an apostrophe so a spreadsheet cannot run it as a formula, and fields with commas or quotes are quoted. If you want formatted dates and money columns, download Excel instead: the same data with proper types and filters.

Does it read invoices from any software?

It does not depend on templates. It finds labels such as Invoice #, Date, Subtotal, Tax, VAT and Total and reads the values next to or under them, and finds the line items from the table header (Description, Qty, Rate or Price, Amount and their synonyms). Fields it is unsure of are marked so you can check them.

Is the PDF uploaded?

No. It is opened by pdf.js in your browser and never leaves your device.
